Condition records
An examiner records physical condition before custody, after relevant activity, during handoff, at return. They describe observed damage, wear, operation, attachments, missing parts, care requirements. Photographs support comparison when the relevant detail is visible and consistently documented.
For a camera, the examiner can record the lever modification, shutter operation as tested, strap wear, visible dents. A later failure may have several causes. Staff compare earlier observations and use records before attributing responsibility. A plant requires recurring condition and care information rather than a single permanent description.
Condition records support care, repair decisions, transfers. Staff record the examiner, time, method, uncertainty. They distinguish an aesthetic judgment from a physical observation. The custodian can review the receipt and later return account so a disagreement has a documented basis.
